Which services your data actually passes through
Running a call involves more than one system working together. Here are the specific named services involved, and what each one is responsible for.
Telephony and voice conversation
Vapi runs the AI voice conversation itself, and Twilio, used by Vapi, places the actual phone call over the telephony network.
Transcript analysis
Once a call ends, the transcript is sent to OpenAI, which determines whether the call resulted in a booked meeting or not. If that service is temporarily unavailable, a simpler keyword based fallback is used instead.
Calendar and billing
Google Calendar is used to create real calendar invitations when connected. Paddle handles subscription billing, payments, and tax as our merchant of record. HubSpot is used only if you choose to connect it as a lead source.
Frequently asked
Telephony, voice, and transcript analysis are used for every call. Google Calendar and HubSpot are only involved if you've connected them.
More security topics
This page describes, plainly, what data moves through Dialbotix, where it goes, and what protections are actually in place today, rather than a generic security statement.
Retention isn't the same for every type of data in the platform. Here's specifically what's kept, for how long, and what deleting something actually does.
Every call produces a recording alongside its transcript. Here's how that recording is actually handled, from creation to the end of its retention window.
