We had plenty of registrations. Getting people to actually show up was the real problem.
The problem
Rachel's team ran a mid sized annual industry conference and had no trouble getting people to register through email invitations, but actual attendance on the day was consistently well below the registered number. She suspected a lot of registrants simply forgot or deprioritized it as the date got closer.
What changed
She set up personal calls to every registrant a week out and again the day before, confirming attendance details and answering any last minute questions, with an easy option to reschedule interest for the next event if they genuinely couldn't make it.
The result
Rachel said the gap between registered and attended shrank considerably at her next event, and she also picked up better data on who was genuinely interested versus who had registered on a whim, which helped her plan catering and room sizes more accurately.
We had plenty of registrations. Getting people to actually show up was the real problem.
