Getting started

The fastest way to make your first AI call

Dialbotix is an AI-powered outbound calling platform that automatically calls your leads, talks with them using an AI voice agent, qualifies them, and tries to book a meeting.

What is Dialbotix?

After a call, Dialbotix automatically:

  • Saves the conversation transcript and recording
  • Analyzes the conversation
  • Marks the lead as HOT, FAILED, or NO ANSWER
  • Creates a booking when a meeting is booked
  • Updates your dashboard in real time
  • Deducts the calling minutes used

Your first call

Create an account

  • Register with email and password, or use a supported social login.
  • New accounts start on the Trial plan.

Create an AI Agent

Go to App → Agents → Create Agent. Give your agent a name and describe its persona.

Create a Campaign

Go to App → Campaigns → New Campaign. Select your agent, then define your goal, product pitch, qualification questions, booking link, and retry settings. Set the campaign to Active.

Add a Lead

Go to App → Leads → New Lead. Add the lead's name and phone number using an international format such as +14155550123.

Watch the call

Open Calls or Leads. When the call starts, it shows as LIVE, and the transcript appears while the conversation is happening.

Review the result

  • The lead becomes HOT if a meeting was booked.
  • Otherwise, the lead becomes FAILED.
  • If nobody answered, the lead becomes NO ANSWER.

Check the booking

Open App → Bookings to view meetings booked by your AI agent.

Core concepts

Learn how Dialbotix is organized before creating campaigns.

Agent

An Agent is the AI voice persona that talks to your leads. You can create multiple agents for different sales approaches or use cases.

Booking

A Booking is a meeting created when the AI determines that a lead agreed to a meeting.

Minutes

Minutes are your calling balance. Connected calls consume minutes based on their duration.

Bonus Minutes

Bonus minutes are additional calling minutes purchased outside your normal plan. They remain available after your monthly subscription period ends.

Create an Agent

Give your agent a clear name and a description of its personality and role. For example:

Description:Friendly B2B sales representative who qualifies prospects and books product demos.

The agent can then be assigned to campaigns.

Agent vs Campaign

An Agent defines who is speaking. A Campaign defines what that agent is trying to accomplish. For example:

Agent: Sarah — Sales

Campaign: Book SaaS Demos

The same agent can be used for multiple campaigns.

Campaigns control how Dialbotix calls your leads.

Create a Campaign

Campaign Status

HOT

Active — Dialbotix can automatically queue and call leads.

PAUSED

Paused / Inactive — Leads can be added, but Dialbotix will not start new calls.

Recommended workflow: set up and test your Agent and Campaign before activating the campaign with a large lead list.

If the campaign is Active and you have enough minutes, the lead can be queued automatically.

Import Leads with CSV

Auto-recognizedDialbotix recognizes common column names such as Full Name, Mobile, and Organization. First and last name columns can also be combined.

Each import supports up to 1,000 rows. Rows without valid phone numbers are skipped, and duplicate leads are deduplicated.

If a lead does not answer, Dialbotix can automatically retry according to your campaign's:

Permanent Call Logs

Call logs are permanent. Deleting a lead does not delete its call history — deleted-lead calls remain available under Calls and are labeled as belonging to a deleted lead.

Each call log contains:

Run your campaign

Bookings

Learn how Dialbotix handles meetings booked by your AI agent. When the AI determines that a lead booked a meeting, Dialbotix creates a booking.

Google Calendar connected

Dialbotix reads the agreed meeting time from the conversation.

Google Calendar not connected

The booking is still recorded in Dialbotix. Your campaign's booking link is stored with the booking so you can follow up manually.

Booking confirmation

Both the owner and the lead can receive confirmation emails when a booking is created.

Minutes & Plans

Understand how calling minutes work.

Calling minutes

Dialbotix measures usage by connected call time. Your plan includes a monthly minute allowance. Connected calls consume minutes based on their actual duration. Unanswered calls do not consume conversation minutes.

Bonus minutes

Bonus minutes are additional minutes added to your account. Subscription minutes are used first — bonus minutes are used after your monthly allowance is exhausted, and they remain available after your subscription period ends.

5-minute rule for paid plans: paid plans require at least 5 minutes remaining to start a new call. If you have fewer than 5 minutes remaining, you must add more minutes before starting another call.

Trial plan

Trial accounts receive a limited amount of free calling time. Trial users can continue calling while they have trial time remaining — each trial call is capped at the remaining trial balance. When the trial balance reaches zero, new calls are blocked until the account is upgraded.

Low-balance alerts

Dialbotix sends alerts when your balance becomes approximately:

CRITICAL

The alert state resets after you add more minutes.

Integrations & Lead Sources

Connect Dialbotix to the tools you already use.

Website / Webhook

Send leads directly to a campaign using its webhook URL — name, phone, email, and company enter the same calling pipeline as manually created leads.

HubSpot

Connect from App → Integrations → HubSpot and map contacts to a default campaign. Qualifying contacts flow into Dialbotix automatically.

Google Calendar

Connect to automatically create real calendar events and send meeting invitations when leads book.

Troubleshooting

Common problems and how to resolve them.

Check:

  • Is the campaign Active?
  • Do you have enough minutes?
  • Is the phone number in international format?
  • Is the lead already a duplicate?

Paid plans require at least 5 minutes remaining to start a new call.

The call can still complete even if the realtime connection is unavailable. The completed call, transcript, recording, and usage can still be saved.

Analysis normally completes within a few seconds. If the primary AI analysis service is temporarily unavailable, Dialbotix uses its fallback classification system.

Check whether Google Calendar is connected. Without Google Calendar, the booking is stored in Dialbotix using the campaign's booking link rather than creating a Google Calendar event.

If you are on a paid plan, check that you have at least 5 minutes remaining. If you are on Trial, check that you still have trial minutes available.

No. Call logs are permanent. The call remains available under Calls, even after the lead is deleted.

Yes. Configure Max Retries and Retry Delay in the campaign settings. NO ANSWER leads are automatically re-queued until the retry limit is reached.
